Job Description

1.  JOB TITLE Facilities Assistant

2.  MAIN PURPOSE AND SCOPE OF THE JOB

Provide assistance to the Estates Director in the coordination of all facilities services at Stoneleigh Park

3.  POSITION IN ORGANISATION

Line Manager is:            Estates Director
Direct reports                Maintenance Operative

4. DUTIES AND KEY RESPONSIBILITIES

      Tasks/activities/performance

  • Programme and undertake all routine inspections and tests of facilities, equipment, services and systems in accordance with the event/exhibition schedule. Liaise with maintenance operative and relevant contractors in respect of these services and any faults.
  • Formulate and maintain a robust buildings inspection recording system and maintenance schedule.
  • Supervision of contractors and utility companies on site, for planned and reactive maintenance; including budgetary control and processing of orders/invoices.
  • Administration of Ground Penetration Permit system and the site asbestos register
  • Provide a first point of contact to Commercial and Technical Event Team for issues/concerns regarding facilities, maintenance, equipment and safety reporting as necessary.––
  • Monitor and order calor gas and oil fuel requirements throughout the year for all facilities. Read and record all electricity and water meters on site and liaise with Admin Co-ordinator.
  • Liaise with H&S Manager on all aspects of H&S, Risk Assessments, Fire Hazards, compliance and method statements.
  • Such other tasks as from time to time may reasonably be required.

5. GENERAL RESPONSIBILITIES

  • Maintain and improve competencies through continuous professional development. Participate fully in the Society programme for staff appraisal, review and development, including training
  • Work collaboratively with staff across RASE and other partner and like minded organisations.
  • Work to administration, communication, environmental, health and safety protocols and policies to ensure that organisational systems and procedures are implemented
  • Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook and on the RASE Intranet
  • Support and promote diversity and equality of opportunity in the workplace
  • Treat with confidentiality any personal, private or sensitive information about individual organisations and or schemes or staff etc
  • Carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post

6. PERSON SPECIFICATIONS

Essential

  • Experience of property maintenance and facilities management
  • Able to demonstrate well developed administrative, communication and planning skills
  • Basic knowledge of H&S legislation and the ability to interpret and convey it accurately to employees, contractors and members of the public.
  • Good IT Skills and knowledge of Microsoft Office, Word, Excel and PowerPoint
  • Valid driving licence
  • CAD experience would be advantageous
