Job Description

1.  JOB TITLE Reception/Administrator
 
2.  MAIN PURPOSE AND SCOPE OF THE JOB

To assist and support the efficient and welcoming operation of a combined reception and post room, which is the first contact point for all visitors to the Society, including providing general office administration support to the Society. The reception/post room is operational from 08.30 am to 5.30 pm

4.  DUTIES AND KEY RESPONSIBILITIES

      Tasks/activities/performance

  • Tasks/activities/performance
    • Operate the switchboard (training provided) in a timely and friendly manner ie within 3 rings
    • Greet all visitors promptly, in a warm and professional manner and notify the appropriate member of staff, ensuring the first point of contact with the Society is a positive experience for all visitors
    • Assist with the sorting and delivery of incoming mail and franking of outgoing mail, advising staff on procedures clearly and politely
    • Assist with arranging parcel collections via preferred courier
    • Assist with the issue of stationery items to staff
    • Assist with the prompt production of badges and car passes for staff and Stoneleigh Park partners
    • Providing clear advice on site directions to visitors as required
    • Assist with the training of staff on photocopiers, telephones, voice mail, company databases etc
    • Develop awareness of key contracts held for the provision of office services and provide backup assistance with regard to breakdowns for example photocopiers
    • Respond flexibly to providing additional cover for other members of the team during events, breaks, holidays, absence etc
  • Functional and cross department responsibilities
    • Provide administrative support such as mail merges, letters, diary arrangements including booking of meeting rooms, invoicing, as required for other departments in the Society
    • Ensure all staff members, visitors, contractors, are treated in a polite and courteous manner at all times

      GENERAL RESPONSIBILITIES

  • Maintain and improve competencies through continuous professional development. Participate fully in the Society programme for staff appraisal, review and development, including training
  • Work collaboratively with staff across RASE and other partner and like minded organisations.
  • Work to administration, communication, environmental, health and safety protocols and policies to ensure that organisational systems and procedures are implemented
  • Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook and on the RASE Intranet
  • Support and promote diversity and equality of opportunity in the workplace
  • Treat with confidentiality any personal, private or sensitive information about individual organisations and or schemes or staff etc
  • Carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post

  • Experience (including achievements), Knowledge and Skills Required
    • Basic computer skills required, including Microsoft Office Word and Outlook email
    • Professional, friendly telephone and face to face communication skills
